BuildPro is a coordination and communication portal. It does not replace signed construction contracts, approved plans, permits, inspections, product approvals, accounting records, county documents, legal notices, safety programs, or manufacturer requirements.

Estimates with electronic approval
Send a secure estimate link so the customer can review scope, measurements, quantities, materials, options, pricing, exclusions, permit and engineering responsibility, deposit, payment schedule, warranty language, expected timing, and supporting documents. Where enabled, BuildPro captures the customer-entered name, signature, approval selection, timestamp, estimate version, and audit record.
Electronic estimate approval does not replace a permit, notarization, recorded Notice of Commencement, signed and sealed engineering, inspection, or another document-specific legal process.
Managers can assign workers and crews, plan job dates, review weekly activity, identify schedule conflicts, review unassigned work, review paused jobs, and coordinate project sequencing.
Schedule information is operational planning and may change because of weather, permitting, inspections, material availability, site access, hidden conditions, customer changes, or other project factors.
Job-status tracking
Authorized workers may record On the way, Arrived, Started, Paused, Returned, and Finished with timestamps where enabled.
A status update is not GPS verification. “Finished” is not proof of inspection approval, code compliance, customer acceptance, final payment, legal completion, or warranty activation.
Role-based access
Separate permissions for Admin, Manager, Estimator, Worker, Crew, Contractor, Subcontractor, Customer, and Project Contact — using the minimum necessary permission model.
Project photos
Organize before, measurement, existing-condition, material-delivery, progress, issue, inspection, and completion photos. Customer-facing photographs must be intentionally shared — internal uploads are not automatically exposed.
Notes
Separate customer-visible updates, field notes, project-manager notes, private administrative notes, safety notes, completion notes, and warranty notes.
Documents
Support authorized project records: estimate, signed approval, contract, change order, product information, engineering, permit record, inspection document, Notice of Commencement, receipt, invoice, lien release, warranty, and completion record. The portal does not itself make a document legally sufficient.
Change-order workflow
A change-order record identifies the requested change, reason, revised scope, added or reduced amount, schedule effect, new exclusions, approval status, approval date, and related photographs or documents. An informal field conversation is not an approved change when the contract requires written authorization.
Receipts & documentation
Authorized workers may submit receipts, material records, delivery documentation, private notes, completion photographs, and job checklists — with original upload times retained.
Invoice & payment information
Where enabled, customers may review invoice status and balances, open approved third-party payment links, and download receipts. Card payment details are handled by Stripe rather than stored by the contractor.
Mobile-first field use
Important actions — open assigned job, review scope, call an authorized contact, open directions, update status, upload photograph, add note, submit receipt, complete checklist, and mark work finished — are designed to work on a phone.
