Private Construction Project Portal

Construction Project Portal for Customers, Crews and Contractors

BuildPro brings estimates, approvals, schedules, field updates, project records, and customer communication into one organized portal. It is the private project-management system used by West Coast Screening and Seamless Gutters LLC and North Port Pavers for customers, employees, crews, subcontractors, and invited contractor accounts.

Customers can review and approve estimates, follow active jobs, and access shared project information. Crews can view assignments and record field status. Managers can coordinate schedules, documentation, and communication without relying entirely on disconnected spreadsheets, text messages, paper notes, and personal phones.

Received a secure estimate or project link? Open the link from the company's email or text message. You may not need a permanent account to review the shared estimate or project record.

Why a portal

One Organized Construction Project Portal

Construction projects produce a constant flow of information: estimates, signatures, selections, addresses, measurements, schedules, permits, engineering, materials, crew assignments, job photos, receipts, invoices, change orders, inspection notes, weather delays, completion records, and warranty communication.

When those details are scattered across text messages, paper files, spreadsheets, separate applications, and personal phones, important information may become difficult to locate. Customers may not know where to find the latest update. Workers may arrive without the newest scope. Managers may spend unnecessary time requesting photographs, checking schedules, or confirming whether a job was completed.

BuildPro gives authorized project participants one location for the information assigned to their role.

  • Customers see customer-facing records.
  • Workers see the field information required for assigned jobs.
  • Subcontractors see only authorized project details.
  • Managers see the operational information required to coordinate projects and teams.

Role-based access helps prevent internal notes, unrelated projects, or other customers' information from being displayed to the wrong user.

BuildPro is a coordination and communication portal. It does not replace signed construction contracts, approved plans, permits, inspections, product approvals, accounting records, county documents, legal notices, safety programs, or manufacturer requirements.

Features

Construction Management Features Designed for Real Jobs

Built for the way pool-cage, screen-enclosure, gutter, and paver projects actually run in Southwest Florida.

Estimates with electronic approval

Send a secure estimate link so the customer can review scope, measurements, quantities, materials, options, pricing, exclusions, permit and engineering responsibility, deposit, payment schedule, warranty language, expected timing, and supporting documents. Where enabled, BuildPro captures the customer-entered name, signature, approval selection, timestamp, estimate version, and audit record.

Electronic estimate approval does not replace a permit, notarization, recorded Notice of Commencement, signed and sealed engineering, inspection, or another document-specific legal process.

Customer project portal

Customers may review authorized estimate status, approved scope, project stage, planning dates, customer-facing updates, selected photographs, shared documents, change orders, invoices, payment links, completion documents, and warranty information.

Crew scheduling

Managers can assign workers and crews, plan job dates, review weekly activity, identify schedule conflicts, review unassigned work, review paused jobs, and coordinate project sequencing.

Schedule information is operational planning and may change because of weather, permitting, inspections, material availability, site access, hidden conditions, customer changes, or other project factors.

Job-status tracking

Authorized workers may record On the way, Arrived, Started, Paused, Returned, and Finished with timestamps where enabled.

A status update is not GPS verification. “Finished” is not proof of inspection approval, code compliance, customer acceptance, final payment, legal completion, or warranty activation.

Role-based access

Separate permissions for Admin, Manager, Estimator, Worker, Crew, Contractor, Subcontractor, Customer, and Project Contact — using the minimum necessary permission model.

Project photos

Organize before, measurement, existing-condition, material-delivery, progress, issue, inspection, and completion photos. Customer-facing photographs must be intentionally shared — internal uploads are not automatically exposed.

Notes

Separate customer-visible updates, field notes, project-manager notes, private administrative notes, safety notes, completion notes, and warranty notes.

Documents

Support authorized project records: estimate, signed approval, contract, change order, product information, engineering, permit record, inspection document, Notice of Commencement, receipt, invoice, lien release, warranty, and completion record. The portal does not itself make a document legally sufficient.

Change-order workflow

A change-order record identifies the requested change, reason, revised scope, added or reduced amount, schedule effect, new exclusions, approval status, approval date, and related photographs or documents. An informal field conversation is not an approved change when the contract requires written authorization.

Receipts & documentation

Authorized workers may submit receipts, material records, delivery documentation, private notes, completion photographs, and job checklists — with original upload times retained.

Invoice & payment information

Where enabled, customers may review invoice status and balances, open approved third-party payment links, and download receipts. Card payment details are handled by Stripe rather than stored by the contractor.

Mobile-first field use

Important actions — open assigned job, review scope, call an authorized contact, open directions, update status, upload photograph, add note, submit receipt, complete checklist, and mark work finished — are designed to work on a phone.

Installable web app

Add BuildPro to a supported device for faster access to assigned projects and portal functions.

Customer journey

A Clearer Customer Experience From Estimate to Completion

  1. 01

    Request an estimate

The customer chooses the appropriate service brand and requests a site visit or written proposal.

  2. 02

    Receive a secure estimate

The company sends an authorized email, text message, or portal notification.

  3. 03

    Review the full scope

Project description, dimensions, quantities, materials, options, price, taxes, deposit, payment schedule, permit responsibility, engineering responsibility, exclusions, warranty, and expected timing.

  4. 04

    Ask questions

Customers should ask questions before signing when a term, material, responsibility, price, or exclusion is unclear.

  5. 05

    Approve and sign

Complete the electronic approval process where enabled.

  6. 06

    Project setup

The approved work is organized into a project with authorized access.

  7. 07

    Follow schedule information

Customers review planned dates and updates. Portal dates are planning information, not guaranteed completion dates, unless the signed contract specifically states otherwise.

  8. 08

    Review progress

Customers review selected project updates and photographs.

  9. 09

    Review changes

Written scope or price changes should be reviewed and approved where required.

  10. 10

    Completion

Customers receive available completion information, invoices, warranties, care instructions, and shared project records.

The signed contract and approved written changes control the formal project scope, price, exclusions, warranty, and payment obligations. A portal summary does not override the signed agreement.
